What is a daily construction report?

A daily construction report is a short record of one day on a job site. It logs who was there, how long they worked, what got done, the weather, deliveries, delays, safety incidents and visitors. It's usually filled in by the superintendent or foreman at the end of the day.

Why keep daily reports

Daily reports are the job's memory. When a dispute comes up months later about a delay, an extra or an injury, the report written that day is the best record you have. They also help you check labor hours against your estimate while the job is still running.

How to write a construction daily report

  1. Fill it in the same day. Details fade fast.
  2. Log the weather. Conditions, temperature, and any time lost.
  3. List everyone on site. Your crew and subs, with trade and hours.
  4. Describe the work done. By area or task, with quantities where you can.
  5. Record deliveries and equipment.
  6. Note delays and issues. What happened, who caused it, and what you're waiting on.
  7. Record safety. Incidents, near misses and toolbox talks.
  8. Note visitors and inspections. Who came, and the result.
  9. Reference photos and sign it.

Write facts, not opinions

Keep it factual: times, names, quantities and what you saw. If something is someone else's fault, describe what happened and leave the conclusion out. A plain, factual report is more useful in a dispute than an angry one.

Weather delays and daily reports

Many contracts give you more time for weather delays, but only if you can show them. Record the conditions each day, and note the hours lost and the work you couldn't do. A run of daily reports showing lost days is far easier to rely on than a memory of a wet month.
