What to put on a work order
- Work order number and the quote it came from
- Job address and the customer's contact details
- Scope: each task and the materials for it
- Who's assigned and the scheduled date
- Space for notes, photos and a sign-off when the work is done
Work order vs invoice
A work order tells your crew what to do. An invoice tells the customer what they owe. Keep them on the same line items so what gets done is what gets billed. When the job is finished, switch to the invoice template and the items carry over.
Maintenance and handyman work orders
For maintenance and handyman jobs, list each task as its own line with a time estimate. The handyman estimate template has a ready-made punch list to start from.
Questions
Is there a printable work order template?
Yes. Fill in what you know, then choose Download, then PDF. Anything left blank prints as an empty field to fill in by hand.
Do work orders show prices?
They can, but crews often don't need them. Tick "section totals only" to hide line prices.
