How to write a quote for a job

  1. Measure the job and work out materials. CanaryQuote's calculators can fill in the line items for you.
  2. Group line items by part of the job, with quantity, unit and price on each.
  3. Add labor as its own line so the customer can see it.
  4. Price extras as optional sections the customer can choose.
  5. Set a deposit, how long the price holds, and your terms.
  6. Send it the same day you visit.

What gets quotes accepted

Homeowners usually get more than one bid, and a lot of contractors are slow to send theirs. In ArcSite's 2022 homeowner survey, 28% said they expect a quote on the spot or the same day, and 75% preferred a digital quote. An itemized quote sent the same day beats a lump sum emailed next week. Fill this one in on your phone before you leave the job, download the PDF and text it.

Service quote and price quote templates

The same template works for service businesses that quote by visit or by room, like cleaning, lawn care and handyman work. Start from a trade below, or build your own sections.

Questions

Is a signed quote legally binding?

Once the customer accepts a quote it usually forms an agreement on that scope and price. Rules vary by state, so for large jobs pair it with a written contract.

How long should a quote be valid?

14 to 30 days is typical. Shorter is safer when lumber, shingle or fuel prices are moving.

Can I get a quote template in Word?

Yes. Fill it in above and choose Download, then Word. It opens in Microsoft Word or Google Docs for further editing.
